Running DepEd Reports

SchoolAide Library can generate the reports required by the Department of Education.

  1. Click DepEd Reports in the sidebar menu.
  2. Select the school year you want to report on.
  3. Select the month (for monthly reports).
  4. Click on the report tab you need.

Here are the available reports:

Circulation Report (by Grade)

Shows how many books were checked out, returned, overdue, and renewed for each grade level, broken down by month.

  1. Click the Circulation tab.
  2. Select the school year and month.
  3. Click Export CSV or Export Excel to download.

Collection Inventory

Shows all the books in your collection grouped by Dewey Decimal Classification (DDC) number.

  1. Click the Collection tab.
  2. Click Export.

School Library Report (SLR)

The annual report required by DepEd about your library's operations and collection.

  1. Click the SLR tab.
  2. Select the school year.
  3. Click Export.

Book-to-Student Ratio

Shows how many books per enrolled student your library has, broken down by campus.

  1. Click the Ratio tab.
  2. Review the ratios for each campus.

Monthly Inventory

A snapshot of your library's inventory for a specific month, showing new acquisitions and current status.

  1. Click the Monthly tab.
  2. Select the month.
  3. Click Export.

Reading Level Distribution

Shows how your collection is distributed across reading levels (from Kindergarten through Post-Graduate).

  1. Click the Reading tab.
  2. Click Export.

Spending Report

Shows how your library budget has been used.

  1. Click the Spending tab.
  2. Review budget utilization.
  3. Click Export.

If something goes wrong:

  • Report shows no data -- Make sure the correct school year is selected. If you just set up a new school year, there may not be any transactions yet.
  • Wrong month selected -- The circulation report is month-specific. Try a different month.
